Get Involved - Youth Program Team
Our team of enthusiastic volunteers organize a wide range of events and activities for kids, tweens, youth and their parents. Smaller events such as youth bowling parties, parent workshops, and seminars require only occasional help from volunteers; but for the two big events of the year to be a success, they require commitment of much time and effort from large teams of volunteers.
The Teen Summer Program (TSP) is a much sought after three-week program held every summer for teens (16-18) whose parents work at WBG, IMF or IADB. The program features speakers from the three organizations and offers the teenagers insight into the fields in which their parents work. Seminars, mock parliaments and town halls are some ways in which teens are taken down educational, creative and self-development avenues through which participants can explore, experience and benefit from on a lasting basis. Volunteers are involved in the planning from January to June, and then on the actual days of the event.
The WBGFN Children’s Holiday Party (CHP) is an annual event that takes place during the end-of-year holiday season, and is typically scheduled for either the first or second Saturday of December. The CHP takes place at the MC Atrium which is transformed into a fascinating wonderland for children, where activities, games, snacks, music and live entertainment are offered to the 800-900 attendees during a fun-filled afternoon.

TSP Coordinator

General Description
The Teen Summer Program (TSP) Coordinator has the overall responsibility for the planning of the three-week program for teens and the management of a multi-organizational team of volunteers. Coordinators from WBGFN, IMFFA and IDBFA together organize and conduct the program activities with a view to balancing youthful interests with professional work forms. In addition, they conduct the selection of applicants through a rigorous two-tier written and interview application process.
Job tasks and responsibilities
- Liaise with Coordinators from IDBFA and IMFFA and chair multi-organization meetings
- Build and support an internal WBGFN team and sub-teams to assist with various tasks e.g. selection of candidates, development of program content, communication, marketing and promotion of event
- Monitor of budget with WBGFN Coordinator
- Overall planning of the program includes:
- Preparation of meeting agenda and minutes, chairing meetings, and update project management files
- Design of a variety of activities suitable for teens
- Selection, invitation, follow-up/confirmation and briefing of staff speakers/presenters
- Communication with teens and parents
- Preparation of promotional material
- Training and supervision of event volunteers and chaperones
- Presentation of detailed debrief and evaluation of outcomes
Qualitative requirements
- Leadership and collaboration skills
- Ability to interact with people of different cultures and young persons
- Experience in planning large events within defined budget and resource limits
- Ability to multitask
- Excellent oral and written communication skills in English
- Knowledge of MS Office Suite i.e. Word, Excel & PowerPoint
- Previous management experience [not required but would be an asset]

Work environment
Work is generally conducted within the offices of the three organizations and/or remotely as required. The Event Coordinator also uses standard office equipment to conduct work
Approximate volunteer hours
- Fortnightly WBGFN team meetings from December to June
- Fortnightly multi-organizational meetings from January to June

Coordinating the TSP Event is a unique opportunity to serve young people as they prepare to negotiate their way into a complicated and complex world. CHP Event Manager

General Description
The WBGFN Children’s Holiday Party (CHP) is an annual event that takes place around the end-of-year holiday season and is typically scheduled for either the first or second Saturday of December. The CHP takes place at the MC Atrium which is transformed into a fascinating wonderland for children, where activities, games, snacks, music and live programs are offered to the 800-900 attendees during a three-hour timeframe. The Event Manager has the overall responsibility for timely planning and coordination of the CHP along with the sub-committees. He or she is the day-to-day contact person for the event and responsible for all communication. The Event Manager works closely with the President, Operations and WBGFN Coordinator.
Job tasks and responsibilities
- Lead the volunteer team who plan, design, market the event; decorate, arrange food and manage logistical details on day of event
- Liaise closely with team members, as well as with the WBGFN Office Staff
- Ensure proper planning and coordination of the event
- Plan and purchase materials keeping within the pre-set budget
- Ensure all materials are labeled and returned to storage
- Set agenda, chair meetings and prepare minutes
- Update Project Management worksheets regularly and submit program report after event
Qualitative requirements
- Keen interest in planning large events
- Ability to multitask and lead a team
- Ability to plan events within a set budget
- Strong communication skills
- Ability to interact positively with people of different cultures
- Previous event management experience would be an asset
Educational requirements
Level and type of education may vary for the position. Familiarity with Smartsheet or similar Project management software would be a valuable asset

Work is generally performed within an office and/or remotely as needed
Approximate volunteer hours
- Three months before the Children’s Holiday Party in early December
- Generally 4 - 6 hours per week for two and a half months before the event
- Significantly more time required during the last two weeks leading up to the event

The Activities Coordinator has overall responsibility for developing, planning and implementing activities for the WBGFN Children’s Holiday Party (CHP) that takes place in the MC Atrium on the first or second Saturday of December. The Coordinator works with other CHP team leads to plan the overall theme for the party and attends regular meetings with the rest of the CHP team to develop the event details and provide updates.

- Define eight to ten core and theme-based activities for the event
- Identify materials and volunteers needed for activities
- Build and lead team of volunteers and assign to activities
- Ensure proper planning and coordination of the activities

CHP Decorations Coordinator

General Description
The Decorations Coordinator has the overall responsibility for planning and setting up the décor in the MC Building's large Atrium, as well as supervising volunteers for the Children’s Holiday Party.
Job tasks and responsibilities
- Identify material for decorations required as per the theme of the event
- Identify number of volunteers needed to plan and set up the decorations for the event
- Build and manage team of volunteers
- Ensure proper planning and coordinating of the setting up of the decorations the day before and on the day of the event
- Plan and purchase materials keeping within the pre-set budget
- Ensure all materials are labeled and returned to storage
- Assist with clean up after the event
Qualitative requirements
- Excellent organizational skills
- Good leadership, communication and interpersonal skills
- Ability to be creative and innovative
